Terms and Conditions – Health Data Forum Wales 2025
Registration and Payment
By registering for Health Data Forum Wales 2025, you agree to the following terms:
Registration fees must be paid in full before attendance.
Payment methods accepted include major credit/debit cards and online payment gateways provided at checkout.
All prices quoted are inclusive of applicable taxes.
Ticket Entitlements
By purchasing a paid ticket for any Health Data Forum event (including the Global Hybrid Summit in Wales or the Executive Think Tank in Dubai), you are entitled to the following:

Full access to all official sessions (keynotes, panels, breakouts) during the event dates—either in-person or virtually, depending on your ticket type.
Occasional catering, including refreshments and hot drinks with snacks.

Participation in networking opportunities, demos, and sponsored showcases.

Official event materials, including agendas, speaker biographies, and curated handouts.

Certificate of Attendance, issued post-event for verified attendees.

Access to select post-event recordings, subject to availability and ticket type.

Optional inclusion in the attendee networking list, if you opt in during registration.

Technical and customer support, both before and during the event.
Some premium or invitation-only components (such as private dinners, executive roundtables, or workshops) may require separate registration or invitation.
All entitlements are valid only upon confirmed payment and successful registration.
Cancellations and Refunds
Cancellations must be submitted in writing (email accepted).
Refund Policy:
Full refund minus an administration fee (£25) if canceled more than 30 days before the event.
50% refund if canceled 15-29 days before the event.
No refund if canceled within 14 days of the event.
Substitutions for registered attendees are permitted without additional charges. Notification must be provided no later than 48 hours before the event.
Event Changes and Cancellations
The organizers reserve the right to modify the program, speakers, venue, or schedule due to unforeseen circumstances.
In case of event cancellation, registered attendees will be notified promptly, and registration fees will be fully refunded. The organizer will not be liable for other related costs or expenses.
Privacy and Data Protection
Personal data collected during registration is handled in compliance with applicable data protection laws (e.g., GDPR).
Attendee data will be used for event administration, communications, and providing event updates. Data will not be shared with third parties without explicit consent.
Photography and Recording
The event will be recorded, and photographs/videos will be taken.
By attending, participants consent to their image and voice being used in promotional materials related to the event.
Any objection should be clearly communicated to event organizers before the event commences.
Virtual Attendance
Virtual attendees must ensure stable internet connectivity and suitable device compatibility.
The organizer is not responsible for technical difficulties from the attendee's side.
Liability
The organizer assumes no responsibility or liability for personal property or personal injury occurring during the event.
Attendees are advised to secure personal belongings and take reasonable care for personal safety.
Conduct
All participants agree to maintain professional, respectful, and inclusive conduct throughout the event.
The organizer reserves the right to exclude or remove attendees who disrupt the event or behave inappropriately, without entitlement to a refund.
Amendments
These Terms and Conditions are subject to change. Any updates will be posted on the event website and communicated to registered attendees via email.
Governing Law
These Terms and Conditions are governed by the laws of England and Wales.
By registering for Health Data Forum Wales 2025, attendees acknowledge that they have read, understood, and agree to abide by these Terms and Conditions.
